Cancellation Policy

Deadline: 16 December 2022

Cancellations must be notified in writing (e-mail is sufficient) to the Conference Secretariat. Cancellations made by 16 December 2022 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person until the start date of the conference without incurring any cost penalty. Refunds for cancellations received after 16 December 2022, will only be made in exceptional circumstances. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Confelrence Secretariat must be advised in writing of any alterations or transfers of registrations.

Disclaimer

All best endeavolurs will be made to present the program as published on the website. The conference and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The host and the Conference Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the host and the Conference Organisers do not accept responsibility for the loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The conference does not cover individuals against cancellations of bookings or theft or damage to belongings.

Conference Postponement

In the evelnt of a postponement, all registrations will automatically be transferred to the new Conference dates. All components of your registration including accommodation bookings and Welcome Reception RSVP will also be transferred. If you are unable to attend on the new dates, you may contact the Conference Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 administration fee up until the Registration Cancellation Deadline.

Conference Cancellation

In the event of the cancellation of the conference, all registrations and associated components of attendance will be cancelled and amounts refunded in full.

State Borders Closed

Should Australian Federal &/or State Governments mlake a decision relating to COVID-19 gatherings, closure of borders and travel restrictions, a full refund will be offered for the value of your registration inclusive of any social function tickets. For any accommodation bookings, the Conference Secretariat will contact the hotel and put in a request for cancellation, however, the cancellation fee will be at the discretion of each hotel.


Accommodation

Deposits

Accommodation will not be confirmed until payment of the first night is received by Credit Card or full pre-payment is received by Cheque or Electronic Funds Transfer. Your payment will be forwarded to your hotel and credited to your room account. Delegates must settle the balance of their account with the hotel concerned upon check in/out depending on the hotels policy. If accommodation deposits are not received before 10 January 2023 your room will be cancelled and released back to the hotel. The Conference Secretariat does not take responsibility for accommodation if payment is not received by this date.

Cancellations

NO ACCOMMODATION PAYMENTS WILL BE REFUNDED ON OR AFTER 10 JANUARY 2023. Delegates who confirm an accommodation booking with a credit card or full pre-payment and who wish to cancel on or after 10 January 2023 are liable for the full cost of their accommodation nights cancelled. To cancel your reservation, please contact the Conference Secretariat at registration@alcc.lungfoundation.com.au. Name changes to a reservation can be made at no charge.

Change of booking

Any change in booking must be made in writing to the Conference Secretariat and NOT directly to the hotel before 10 January 2023. Any changes received after 10 January 2023 will be at the hotels discretion and based on availability.

Early arrival

As check in at most hotels is not until 1400, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Conference Secretariat so we can notify the hotel that your room is required early.

No show policy

In the event of a “No Show” on the date of arrival, full cancellation penalties apply to all nights of the stay.
